You connect Scratcher to Asana through Zapier. A Zap takes every new lead from your Scratcher campaign and creates a task in Asana. Use it, for example, to follow up on B2B leads or to send prizes to winners.
What you need
- A Zapier account. The free plan works for a simple Zap.
- An Asana user who is a member of the project and can edit it. Members with comment-only access can't create tasks.
- A Scratcher plan with integrations, and a campaign with at least one lead to test with.
Step 1: Connect Scratcher to Zapier
If you haven't done it yet, follow Connect 8,000+ apps with Zapier: in Scratcher go to Settings > Integrations > Zapier and click Set up on Zapier.
Step 2: Set up the trigger
- In Zapier, click Create and choose Zaps.
- As the trigger, choose Scratcher and the trigger for new leads.
- Connect your Scratcher account, choose the campaign and click Test trigger.
Step 3: Add the Asana action
- Add the action step and choose Asana.
- As the action event, choose the one that creates a task.
- Connect your account: log in to Asana and click Allow.
- Choose the Workspace, the Project and, if you like, the Section.
Step 4: Map the fields
- Name: the task title, for example "Follow up: " and the person's name.
- Notes: the email, phone number, answers and the prize, so everything is in the task.
- Assignee: the person who should handle the task.
- Due On: for example a fixed number of days ahead, using Zapier's date options.
- Custom fields in the project show as extra fields, if your Asana plan has them.
Step 5: Test and publish
- Click Test step, and check the new task in Asana. Delete it afterwards.
- Click Publish to turn the Zap on.
Only create tasks for some leads
Add a Filter by Zapier step after the trigger (a paid Zapier plan). For example, only continue when a prize name exists, to create tasks for winners only.
Troubleshooting
- Look at the Zap history in Zapier for each run and Asana's error message.
- The project isn't in the list: the Asana user who connected Zapier isn't a member of it.
- "Forbidden": the user has comment-only access to the project. Give them edit access, or reconnect with another user.
